Continuation
The VD 17 is being continued after the end of the DFG. The primary aim is to add new title records with an inventory entry; the addition of further ownership records is not a priority. This means that libraries not regularly participating in the project will also have the opportunity to add their unique collections and 17th century prints to VD 17. They will receive editorial support from one of the three supporting libraries in Munich, Berlin or Wolfenbüttel, depending on their regional responsibility.
Libraries wishing to submit new editions for the VD 17 should provide title records that comply with the VD 17 conventions as far as possible. Ideally, the supplying library should record its holdings directly in VD 17 after appropriate training, or the recordings should be recorded in one of the union libraries and copied/pasted into VD 17.
The following procedures are currently conceivable:
1. Direct cataloging in VD 17
Cataloging according to VD 17 standard after training by one of the three supporting libraries. Due to the amount of training required, however, a minimum of 500 new titles/issues should be assumed.2. Registration of VD 17 title records in the networks
The bibliographic description should comply with the VD 17 guidelines!
The records must therefore contain the following elements:
- standardized attribution of personal names according to the GND
- names of dedicatees, contributors and censors as found or standardized/li>
- standardized place of publication/printing and standardized printer/publisher names
- detailed scope and illustration information; bibliographic format
- fingerprint
- as far as possible, generic terms according to the guidelines of the Arbeitsgemeinschaft Alte Drucke beim GBV (AAD)
- key pages or preferably full digital copy
The recordings may then need to be edited. The status of editorially revised recordings is changed to A_u (autopsy).
Records from the GBV that have been made up according to the AAD standard do not need to be edited (significant differences: typographical features are recorded according to the AAD standard; an AST may be created). However, categories not provided for in the GBV must be supplemented (e.g. 4033); this can be done by the supplying library if necessary.
3. Reporting of individual titles from libraries without a connection to a union catalogue
Individual titles can be reported to one of the three supporting libraries according to regional affiliation:
SBB-PK Berlin: Berlin, Brandenburg, Mecklenburg-Vorpommern, Sachsen, Sachsen-Anhalt, Thüringen
BSB München: Baden-Württemberg, Bayern, Rheinland-Pfalz, Saarland
HAB Wolfenbüttel: Bremen, Hamburg, Hessen, Niedersachsen, Nordrhein-Westfalen, Schleswig- Holstein
For occasional (< 100) “random reports”, the ELN “VD17 supplement” is available to the supporting libraries in Berlin, Munich and Wolfenbüttel. The name of the supplying library is recorded as the location information.
For smaller collections, the possibility of making the volumes directly available to one of the VD 17 partners should be examined.
New supplying libraries that report 100 or more new records or holdings must be assigned their own ELNs. The central catalogue office (VZG) hands out the needed logins to the catalogers in the relevant host library.
Basic elements of indexing (with exemplary MAB categories) and at the same time prerequisites for subsequent further processing for VD 17 are:
- Delivery preferably of a full digitized copy of the title, but at least of the necessary key pages by the supplying libraries; if necessary, the copy must be made available. The key pages are an important element for the (autoptic) cataloging of titles for VD 17. As a rule, these include digital copies (or copies) of the title pages of a print, the pages with the names of dedicatees, the beginning of the main part and the colophon (if available). If a printer's mark is present, the corresponding page will also be digitized. The pages must be scanned separately. Double pages are only possible in cases where the text runs over two pages. The supplying libraries digitize these key pages themselves and send them to the VD 17 editors. If it is not possible to produce digitized copies in the supplying libraries, paper copies can also be sent. The latter would then have to be scanned and sent to the relevant supporting library.
- Standardization of the names of all authors, editors, translators, etc. according to the GND; if necessary, these should be recorded in the GND
- All artistic, musical and literary contributors (authors of dedicatory poems, prefaces, etc.), censors and dedication recipients according to the template in the nominative case in field 501_. The contributors, etc. should be listed separately by category, e.g: Contributor: Justus Lipsius - Dedication recipient: Janus Gruterus etc.
- Collation with number of full-page illustrations on non-paginated leaves, copper title, frontispiece, title page red & black, portraits, maps and notes; the number of leaves/pages is recorded in field 433_, illustrations are noted in field 434_; if there are exemplar-specific deviations, these are listed under 501_.
- Recording the bibliographic format in field 435
- Recording of included and appended works in field 517a (appended works) and field 517b (included works) for the bibliographic description; for indexing, this information would have to be recorded again in field 370 (title only) or in the 800 fields (author and title; non-standard secondary entries)
- Record the fingerprint in field 578
- Local data (signature) at the end of field 501_
If necessary, further editorial work is carried out in the supporting libraries according to the conventions of VD 17:
- Reproduction of the title in accordance with the original and the conventions of VD 17
- If necessary, the standardization of the names of all authors, editors, translators, etc. according to the GND. These may still need to be recorded in the GND
- Assignment of genre terms
- Standardization of place and printer/publisher
- Note on the origin of the corresponding key pages in PICA category 4233 “Key pages from the copy...”
3.1 Automized attachment of holdings
It is possible to automatically attach more extensive holdings of a supplying institution to the recordings in the VD 17 database. This is done using an Excel list, which must contain the following columns (without spaces in between) or details:
- VD 17 number
- Name of Institution
- Shelfmark
Optionally, columns can also be added for the comment field on the announcements and for the indication of provenance (in the form “Place, institution. - Ms. ownership note: Name. - Ms. ownership note: Name, year") should be added.
4. Reporting of items by private individuals
Processing takes place in one of the three supporting libraries according to regional responsibility. These libraries are also responsible for producing digital copies of at least the key pages, but preferably a full digital copy.
